How to Use the Sales Rep Report in Elite Core

The Sales Rep Report gives users a flexible way to review sales performance across representatives, teams, customers, industries, and time periods. It is designed to answer more than one sales question, so the report includes several report types rather than forcing every user into a single table.

Depending on the view selected, the report can help users understand booked sales, invoiced sales, sales against budget, forecast performance, weekly activity, new versus repeat business, customer sales, industry performance, customer margin by representative, customer sales history, and average order size by customer.

Where to Find the Sales Rep Report

Open the Reports area in Elite Core and select the Sales Rep Report. The exact menu visibility depends on the user’s role and permissions.

When the report opens, Elite Core loads the available sales data for the organization and presents filters, summary values, report-type controls, sorting, saved-report tools, column visibility, and export options.

What the Sales Rep Report Measures

The Sales Rep Report can look at sales from two main financial perspectives: Booked and Invoiced.

The Booked view uses approved Sales Order cart totals. This view is useful when users want to understand business that has been sold and committed, even if the customer has not yet completed the Invoice payment process.

The Invoiced view uses paid or received Invoice amounts. This view is useful when users want to review sales based on revenue that has progressed further through the financial lifecycle.

Because Booked and Invoiced answer different questions, users should always confirm which sales view is selected before comparing numbers between reports or periods.

The report includes summary values such as Total Sales, Total Orders, Average Order Size, Total Margin, and Margin Percentage where those values are relevant to the selected report type.

If a budget has not been configured for the relevant period or user, the report may identify that the budget is missing rather than presenting a meaningful comparison.

Forecast

The Forecast view helps users examine expected sales performance. It is useful when management needs to look beyond completed historical sales and understand the expected direction of the selected period.

Weekly Performance narrows the analysis to a selected week. When this report type is selected, Elite Core provides a week filter so users can evaluate short-term sales activity and performance.

New vs Repeat

By Customer

The By Customer report groups or presents sales information around customer accounts. Use it to understand which clients are producing the most sales and to review customer-level performance within the selected date range and sales view.

By Industry

Customer Sales History

Customer Sales History focuses on how a customer’s sales have developed across time. It is useful for reviewing account growth, decline, seasonality and changes in purchasing behaviour.

Average Order by Customer

Average Order by Customer helps users compare the typical order size of different customer accounts. A customer may have high total annual sales because of many small orders, while another may place fewer but much larger orders. This report makes that difference easier to see.

Filtering by Date and Period

The report supports date-based filtering so users can compare the period that matters to the review. Available period behaviour includes fiscal-year, calendar-year and custom-period approaches, depending on the selected report configuration.

Client Rep vs Order Rep Assignment

The Assignment filter determines how Elite Core decides whether a row belongs to a representative.

Any Assignment includes qualifying rows without restricting the report to only one assignment role, unless another Rep or Team filter narrows the result. Client Rep Assignment limits the report to the representative assigned in the client-rep role. Order Rep Assignment limits the report to the representative assigned at the order level.

This distinction is important when a client relationship is owned by one person but an individual Sales Order is managed by another. Users should select the assignment method that matches the question they are trying to answer.

Filtering by Team

The Sales Rep Report can also filter by team. This allows managers to review a group of representatives together instead of selecting users one at a time.

Team filtering is useful for regional teams, sales groups, departments or other configured team structures. When comparing teams, confirm that their membership is current because report results depend on the users included in the selected team.

Filtering by Industry

Industry filtering is available where industry analysis is relevant to the selected report type. It can help users focus on a particular vertical or isolate customers that have not yet been assigned an industry classification.

If industry results look incomplete, review the customer records themselves. A report cannot reliably group customers by industry if that customer data has not been maintained.

Using Quick Find

The Quick Find field helps users narrow the visible data when they need to locate a specific customer, order, representative or other searchable report value.

Quick Find is useful for investigation, but it should not replace the formal filters when producing a report that will be exported, shared or compared over time. Formal filters make the report criteria easier to reproduce.

Understanding Booked Sales

Booked sales represent approved Sales Order values. They are useful for measuring what the organization has sold and committed.

Booked sales can be ahead of actual customer payments because a Sales Order can be approved before the Invoice is paid. For this reason, Booked sales should not automatically be interpreted as cash collected or finalized accounting revenue.

Understanding Invoiced Sales

Invoiced sales use paid or received Invoice amounts in the current report logic. This means the Invoiced view is more closely connected to completed customer payment activity than the Booked view.

If a row appears different between Booked and Invoiced views, review the Sales Order, Invoice status and payment information. The difference may simply reflect that the order has been sold but has not yet moved fully through the Invoice and payment workflow.

Understanding Invoice Payment Indicators

Where Invoice payment status is shown, the report can visually distinguish paid, partially paid and unpaid conditions. These indicators help users understand whether a sales result has moved from a booked commitment into actual customer payment.

A partially paid Invoice should not be treated the same as a fully paid Invoice. Review the remaining balance and the selected report view before drawing conclusions from the sales value.

Exporting the Sales Rep Report

The report supports CSV export. Exporting is useful when the data needs to be reviewed in a spreadsheet, shared with management or used for further analysis.

The exported file should be treated as a snapshot of the selected report criteria at that time. If Sales Orders, Invoice payments, customer assignments, teams or other underlying records change afterward, a newer live report may no longer match the older export.

How to Review an Individual Sales Rep

Start by selecting the intended date period and choosing whether the review should use Booked or Invoiced sales. Then select the appropriate assignment type, because Client Rep and Order Rep can represent different responsibilities.

Select the representative and, if needed, narrow the report by team, customer or industry. Review Total Sales, Total Orders, Average Order Size, Margin and Margin Percentage. Then switch report types when you need additional context such as budget performance, weekly trends, new versus repeat business or customer history.

A useful performance review should not rely on one number. High sales, low average order size, weak margin or a high concentration in one customer can each tell a different part of the story.

How to Troubleshoot Unexpected Sales Results

If a report total looks incorrect, first confirm the date period, report type and Booked versus Invoiced view. A large portion of apparent report differences can be explained by those settings.

Next, review the Assignment filter and representative. Confirm whether the business should belong to the Client Rep, Order Rep or another qualifying assignment. If a Team filter is active, confirm that the representative is currently included in that team.

For customer or industry reports, verify the customer’s underlying account data. For Invoiced results, review the Invoice and payment status. For Booked results, review the approved Sales Order. If margin appears incorrect, review the sales and cost information behind the order rather than changing the report.
