How to Set Up QuickBooks Online in Elite Core

Elite Core - QuickBooks Online Integration

How to Set Up QuickBooks Online in Elite Core

QuickBooks Online connects Elite Core’s operational Project workflow with the accounting records maintained by Finance. Elite Core is where the Project, Sales Order, Billing, Invoice, vendor activity, and operational details are managed. QuickBooks Online is where those financial transactions ultimately become part of the accounting system, Accounts Receivable, reporting, tax records, and general ledger workflow.

This guide explains the complete setup process, from connecting the correct QuickBooks Online company through configuring mappings, testing Invoices, validating taxes and deposits, and confirming that Finance is ready to use the integration with production transactions.

What the QuickBooks Online Integration Does

The QuickBooks Online integration allows financial information created in Elite Core to be transferred into the connected QuickBooks company according to the configuration selected by Finance. The connection is not intended to replace Elite Core’s Project workflow. Instead, it creates a controlled bridge between operational information and accounting information.

A typical flow is Project → Sales Order → Billing → Invoice → QuickBooks Online → Payment and Accounting → Financial Closeout.

Elite Core contains dedicated QBO settings, mapping logic, export controls, invoice tax handling, deposit handling, document prefixes, reference-data mapping, and payment-status synchronization. This means that connecting QuickBooks is only the first step. Finance must also review the accounting configuration before the integration should be used for live client transactions.

Before Connecting QuickBooks Online

Before beginning the connection, confirm that you are working inside the correct Elite Core organization and that you have permission to manage Finance or integration settings. You should also have appropriate administrator access to the QuickBooks Online company that will receive Elite Core transactions.

Confirm the legal business entity, company name, currency, chart of accounts, customer structure, Accounts Receivable setup, tax configuration, products and services, and any accounting policies that affect deposits or Invoice presentation. If your organization has access to multiple QuickBooks companies, determine exactly which one should be connected before continuing.

Do not connect a personal QuickBooks company, a development company, or another organization’s company file. A technically successful connection to the wrong company can still create serious accounting problems if production transactions are exported afterward.

How to Connect QuickBooks Online

Open the QuickBooks Settings area in Elite Core. The QuickBooks settings interface includes a connection section where the current connection status and accounting environment can be reviewed.

Choose the option to connect QuickBooks Online. Elite Core will direct you into the Intuit authorization process. Sign in using an account that has access to the correct QuickBooks company, select the intended company, review the permissions being requested, approve the connection, and return to Elite Core.

After returning, confirm that the QuickBooks Settings screen reports an active connection. Elite Core tracks the connected company and environment, so Finance should verify that the company reference shown in Elite Core matches the company that was intentionally selected.

Elite Core also distinguishes between a sandbox environment and the production environment. Use the sandbox when testing configuration and accounting behavior. Production should only be used after the setup has been validated.

Confirm the Correct QuickBooks Company and Environment

The company connection and the selected environment should be reviewed together. Elite Core can detect environment and company-reference information, and the settings interface can warn about mismatches between saved reference data and the active connection.

If Elite Core appears connected but reference data does not match the expected company or environment, do not begin exporting transactions. Resolve the mismatch first. Finance should be able to confirm the correct company, correct environment, and correct accounting reference data before proceeding.

Understanding QuickBooks Settings in Elite Core

The QuickBooks Settings area contains several groups of configuration that control how Elite Core financial data is interpreted by QuickBooks Online.

The connection settings determine whether Elite Core is connected to QBO and which environment is being used. The export defaults determine whether QBO export is enabled, whether an Invoice PDF should be attached during export, whether transactions should be queued by default when they are created, and whether QBO payment status synchronization is enabled.

The accounting-reference settings include an Invoice item reference, an Invoice service reference, an Invoice tax item reference, and Bill account references for expense, cost of goods sold, freight, and tax expense. These references are important because they determine which QuickBooks items or accounts are used when Elite Core financial lines are exported.

Elite Core also supports configurable Invoice tax export behavior, configurable Invoice deposit behavior, Invoice and Bill document-number prefixes, finance-code mappings, and detailed tax mappings.

Finance should review every relevant field instead of assuming that the defaults are appropriate for the organization.

Invoice Item and Service Mappings

Invoice lines in Elite Core may represent products, services, setup charges, decoration charges, freight, or other client charges. QuickBooks Online needs an appropriate accounting item or service reference when those lines are exported.

The Invoice item and Invoice service references should be mapped to the correct QuickBooks products or services based on the organization’s accounting structure. The objective is not only to make the Invoice total match. The objective is also to ensure that the revenue is posted to the correct accounting categories.

If the mapping is incorrect, an Invoice can appear financially correct to the customer while still producing incorrect revenue reporting in QuickBooks.

Bill Expense, COGS, Freight, and Tax Mappings

Elite Core also contains QuickBooks references for Bill expense, cost of goods sold, freight, and tax expense handling. These mappings become important when vendor-side financial records are moved into QuickBooks.

Finance should confirm that product costs are mapped to the intended expense or cost-of-goods-sold account, that freight is posted to the intended freight account, and that vendor tax costs are handled in the correct accounting location.

This is particularly important for Project profitability because inaccurate vendor-cost mappings can make accounting reports disagree with the operational cost picture in Elite Core.

How Invoices Work With QuickBooks Online

An Invoice should normally be reviewed in Elite Core before it is sent or exported to QuickBooks Online. The accounting export should reflect the finalized client-facing transaction rather than an unfinished Project state.

Before exporting, verify the client, Invoice date, due date, client PO or reference information, product lines, quantities, selling prices, setup charges, decoration charges, shipping, additional charges, discounts, taxes, deposits, total, and balance due.

Once the Invoice is correct, Finance can use the available QBO export workflow. Depending on the organization’s configuration, the transaction may be sent immediately or placed into an export queue for controlled processing.

If PDF attachment is enabled, Elite Core can also attach the Invoice PDF as part of the QuickBooks export process.

Invoice Taxes and QuickBooks Online

Taxes require specific configuration because Elite Core and QuickBooks Online can represent tax information differently depending on company country, tax setup, and accounting policy.

Elite Core includes a configurable Invoice tax export mode and an Invoice tax item reference. It also supports tax mappings between Elite Core taxes and QuickBooks tax codes where the connected QuickBooks company supports mapped tax codes.

Finance should confirm how taxes are calculated in Elite Core, how they are represented in QuickBooks, whether a dedicated tax item is required, and whether each Elite Core tax has the correct QuickBooks mapping.

A successful export is not enough. The tax amount, tax reference, Invoice total, and customer balance in QuickBooks should all match the intended Elite Core result.

QuickBooks Invoice Tax Item

The Invoice tax item reference determines which QuickBooks item is used when the selected tax export method requires an item-based representation of tax.

Finance should confirm that the referenced QuickBooks item exists, is active, points to the correct accounting treatment, and is appropriate for the organization’s tax process. After assigning the value in Elite Core, create a controlled Invoice containing tax and inspect the resulting QuickBooks transaction.

If the tax amount or accounting treatment is incorrect, stop and correct the QBO settings before exporting additional production Invoices.

Tax Mapping

Elite Core can load available Elite Core tax records and supported QuickBooks tax codes for mapping. Finance should review each active Elite Core tax and confirm that it points to the intended QuickBooks tax code where mapped tax handling is supported.

A tax mapping should be treated as an accounting configuration, not simply a technical field. The selected QuickBooks tax code affects how tax appears in the accounting record and may affect reporting or tax liability presentation.

How Deposits Work With QuickBooks Online

Deposits require special attention because money may be received before the final client Invoice is completed. Elite Core includes dedicated deposit logic as well as a configurable Invoice deposit mode for the QuickBooks integration.

For example, if the full client amount is $10,000 and a $5,000 deposit has already been paid, the final balance may be $5,000. QuickBooks must not accidentally show the full $10,000 as still outstanding, and the deposit should not be counted twice.

The deposit configuration determines how the prior payment is represented when the final Invoice is exported. Finance should verify the selected deposit mode against the organization’s accounting policy before using it in production.

Suggested Visual: Show a three-step deposit example with Full Project Value $10,000 → Deposit Paid $5,000 → Remaining Balance $5,000, followed by the QuickBooks accounting result.

Review the Invoice Deposit Mode

Elite Core currently supports a dedicated Invoice deposit mode setting in the QuickBooks configuration. The selected mode should be reviewed with the person responsible for the organization’s QuickBooks accounting policy.

After selecting the intended behavior, create a controlled Project that includes a deposit. Confirm that the deposit is visible correctly in Elite Core, that the final Invoice balance is correct, and that the resulting QuickBooks transaction does not duplicate the deposit or overstate Accounts Receivable.

Customers in QuickBooks

Customer handling should be reviewed before production exports begin. Finance should verify that Elite Core is using the intended QuickBooks customer relationship and should avoid creating unnecessary duplicate customer records.

Compare the company name, customer name, billing address, email, currency, tax treatment, and payment terms. If the customer already exists in QuickBooks, confirm that the integration is using the correct customer record according to the configured workflow.

Products, Services, and Finance Codes

Elite Core includes Finance Code configuration that can be mapped into accounting behavior. Finance Codes help control how operational line items relate to the financial categories expected by QuickBooks.

Review how products, services, setup charges, decoration charges, shipping, miscellaneous charges, deposits, and other financial lines are classified. The correct mapping is important for revenue reporting, cost reporting, and margin analysis.

Payment Terms and Due Dates

Payment terms affect when the customer balance becomes due. Before exporting an Invoice, confirm that the Invoice date, due date, and intended client payment terms agree with one another.

If the client is on Due on Receipt, Net 15, Net 30, Net 45, or another negotiated term, the Elite Core Invoice and the resulting QuickBooks transaction should reflect the same intended due-date treatment.

QuickBooks Payment Status Synchronization

Elite Core includes optional QuickBooks payment-status synchronization. When enabled, exported QuickBooks Invoices can be checked using the QuickBooks Invoice total and balance so Elite Core can determine whether the accounting record is unpaid, partially paid, paid, unknown, or requires review.

This synchronization is QBO-to-Elite status synchronization. It should not be assumed to create QuickBooks Payment transactions for payments that originated through Stripe, manual payment entry, or another Elite Core payment method.

Finance should therefore understand the difference between synchronizing an Invoice’s payment state and creating or recording a payment transaction in QuickBooks.

Recommended QuickBooks Setup Test

Before using the integration with a real client, create a controlled test Project and move it through the same financial workflow that a real Project would follow. Create the Sales Order, complete Billing, create the Invoice, review all charges, confirm tax, confirm freight, confirm any deposit, and export the Invoice into the sandbox or approved testing environment.

Then open QuickBooks Online and find the resulting transaction. Compare the customer, Invoice number, Invoice date, due date, line items, subtotal, shipping, other charges, taxes, deposit treatment, total, and outstanding balance.

Do not consider the integration ready until the financial result in QuickBooks agrees with the intended Elite Core Invoice.

Testing an Invoice With a Deposit

A separate deposit test should be completed because deposit handling is one of the most common areas where accounting workflows can become confusing.

For example, create a $1,000 Invoice scenario with a $400 deposit already paid and a $600 remaining balance. Confirm that Elite Core shows the $400 deposit correctly, the customer-facing balance is $600, the QuickBooks transaction reflects the selected deposit configuration, the deposit is not counted twice, Accounts Receivable is correct, and the customer’s remaining balance is correct.

Testing Taxes

Create another controlled Invoice containing tax. Confirm that the Elite Core subtotal plus applicable tax equals the final Elite Core Invoice total. Export the transaction and compare the QuickBooks result.

The tax amount, selected tax reference or mapping, total, and customer balance should all agree. If the totals differ, stop and review the Invoice tax export mode, Invoice tax item reference, and tax mappings before continuing.

Testing Vendor Bill Mappings

Because Elite Core also includes QuickBooks mappings for Bills, Finance should test at least one vendor Bill if the organization intends to export vendor-side accounting data.

Verify product or expense cost, cost-of-goods-sold treatment, freight cost, tax expense, vendor identity, Bill number, Bill date, and total. The accounting result should match the actual vendor cost recorded in Elite Core.

What Finance Should Check Before Going Live

Before production use, Finance should confirm that the correct QuickBooks company is connected, the correct environment is active, QBO export behavior has been reviewed, reference data belongs to the correct company, Invoice item and service mappings are correct, Bill expense and COGS mappings are correct, freight and tax mappings are correct, Invoice tax export behavior has been tested, deposit mode has been tested, payment terms are correct, Finance Code mappings are reviewed, and the required tax mappings are complete.

Finance should also confirm whether Invoice PDFs should be attached, whether new transactions should queue automatically, and whether QuickBooks payment-status synchronization should be enabled.

Most importantly, at least one complete Invoice test, one tax test, and one deposit test should produce matching financial results between Elite Core and QuickBooks Online before live transactions are exported.

What Happens After QuickBooks Is Set Up

Once the integration is connected, configured, and tested, QuickBooks Online becomes part of the normal Finance workflow rather than a separate manual accounting step.

Elite Core continues to manage the Project, Sales Order, Billing, Invoices, vendor costs, and operational profitability. QuickBooks Online receives the accounting transactions that Finance needs for Accounts Receivable, expenses, financial reporting, general ledger activity, and related bookkeeping processes.

The quality of the QuickBooks accounting result still depends on the accuracy of the Project and financial information in Elite Core. Incorrect quantities, prices, freight, taxes, deposits, customer information, or accounting mappings can all create incorrect accounting records even when the integration itself is technically connected.

QuickBooks Online vs. Elite Core

Elite Core and QuickBooks Online have different responsibilities. Elite Core manages clients, Projects, Presentations, Sales Orders, Artwork, Purchase Orders, Billing, Vendor Bills, Client Invoices, payments, Project profitability, and operational workflows.

QuickBooks Online manages the accounting records produced from those activities, including Accounts Receivable, general ledger information, accounting reports, tax records, expense and cost classifications, and other bookkeeping functions configured by the organization.

The integration connects those two systems so Finance can move controlled financial information from the operational workflow into accounting without manually recreating every transaction.

Common Setup Problems

If Elite Core appears connected but accounting data does not behave correctly, first confirm that the correct QuickBooks company and environment are active. Then review the saved reference data and look for any company or environment mismatch.

If Invoice totals differ, compare line items, quantities, shipping, additional charges, discounts, taxes, deposits, credits, and rounding before changing anything in QuickBooks. A total difference is usually a sign that the source data or accounting configuration needs investigation.

If taxes are wrong, review the Invoice tax export mode, Invoice tax item reference, and tax mappings. If deposits are wrong, review the Invoice deposit mode and confirm the prior deposit is represented correctly in Elite Core before exporting the final Invoice.

If financial lines are posting to the wrong accounts, review Invoice item/service mappings, Bill expense mappings, cost-of-goods-sold mappings, freight mappings, tax-expense mappings, and Finance Code configuration.

If QBO payment status does not match what Finance expects, determine whether the Invoice has been exported to QuickBooks, whether payment-status synchronization is enabled, and whether the QuickBooks Invoice balance itself reflects the payment activity.

Suggested Visual: QuickBooks Setup Map

A useful visual for this article would show the QuickBooks Settings page divided into Connection, Defaults, Finance Codes, Tax Mapping, and Advanced configuration. Each section could point to the financial behavior it controls so users understand that connecting QBO is only one part of the setup.

Suggested Visual: Test Before Go-Live

Another useful visual would show the sequence Connect QBO → Configure Mappings → Create Test Invoice → Test Tax → Test Deposit → Compare Elite Core and QuickBooks → Approve Production Use.

Key Takeaway

Connecting QuickBooks Online is the beginning of the setup, not the end. Finance should connect the correct company, verify the environment, review the accounting references and mappings, configure Invoice tax behavior, configure deposit behavior, test Invoice and Bill handling, compare the results in both systems, and resolve every unexplained difference before production use.

The safest implementation path is Connect QuickBooks → Configure QBO Settings → Verify Mappings → Test Invoice → Test Taxes → Test Deposits → Compare Elite Core to QuickBooks → Go Live.
